Intake Lead

We are currently looking to hire an Intake Lead to support our Edmonton office. The Intake Lead is a crucial administrative position, working directly with potential clients to gathering their information before they are assigned to lawyer. The Intake Lead handles a significant portion of the office administrative burden and is primarily responsible for handling inquiries from potential clients through the general office line and website. The Intake Lead will be trained on and have a comprehensive knowledge of the firm’s intake system Lead Docket. This is a full-time position working 35 hours per week (7 hours per day, Monday to Friday), with an additional 1-hour unpaid lunch break each day.

Responsibilities

  • Managing Client Communications - Acting as the first point of contact for potential clients, responding to phone and website inquiries, and coordinating the various steps of the intake process over the phone and e-mail.
  • Software Proficiency – Monitoring and operating more complex computer software, such as operating systems, databases, and file management systems Lead Docket and FileVine and basic knowledge of IT troubleshooting.
  • Firm Referrals - Work with our lawyers to refer work that is out of scope for the firm, or otherwise not suitable.
  • Document Organization and Management - Corresponding with new clients via e-mail and over the phone to gather required documents and information and filing in accordance with established filing procedures. Following up with clients to collect necessary paperwork, documentation, and information as required.
  • File Maintenance - Setting up new client files in the firm’s case management system FileVine.
  • Calendar Coordination and Scheduling - Managing multiple calendars through Outlook, initial intake meetings with lawyers to assess client needs. Preparing client information for preliminary assessment by lawyers.
  • Legal Letters - Drafting welcome and rejection letters for lawyer approval.
    Reporting - Providing full scope of administrative support to lawyers and reports as needed.

Articling Student Posting: Full Time

Weir Bowen LLP usually participates in the articling student and 1L summer student recruitment period. We are a litigation boutique that focuses on medical malpractice, insurance claims, personal injury and other general litigation but we do provide experience in solicitor practice to provide a well-rounded article.

The successful candidate will be someone who can connect with individuals from all walks of life and enjoys learning about areas in and outside of the law. A passion for advocacy and a desire to work in the area of civil litigation are also important characteristics of a successful candidate.
